Getting started
How does offshore staffing with NexOutsource work?
NexOutsource recruits, hires, and manages dedicated staff in Fiji who work exclusively for your business. We handle the office space, IT infrastructure, HR, and payroll while you direct the day-to-day work, giving you full operational control without the overhead of setting up a foreign entity. It's like having your own Fiji office, without the complexity.
How long does it take to set up an offshore team?
Most teams are operational within three to four weeks of signing. This includes recruitment, vetting, onboarding, and setting up workstations and system access. For urgent requirements, we can sometimes fast-track the process using our existing talent pool in Suva.
What's the minimum team size?
You can start with as few as one dedicated team member. Many of our clients begin with a small team of 2 to 3 people and scale up as they see results. There is no minimum headcount requirement to get started with NexOutsource.
Do I need to visit Fiji to get started?
No, the entire onboarding process can be completed remotely via video calls and our online collaboration tools. That said, many of our NZ and Australian clients enjoy visiting their Fiji team once they're established, it's a great team-building experience, and Fiji is only a short flight away.
What happens during the onboarding process?
Onboarding includes a discovery session to understand your workflows, recruitment and selection of candidates you approve, systems setup and access provisioning, and structured training on your processes. A structured onboarding plan gets your team trained on your systems and processes before they go live.
Pricing and contracts
How much does offshore staffing cost compared to hiring locally?
Businesses typically save 50 to 70% compared to equivalent local hires in New Zealand or Australia. This includes salary, office space, equipment, IT infrastructure, and all HR management, so the savings are genuine and all-inclusive, not just on the headline wage.
Are there any hidden fees or setup costs?
No. NexOutsource bills a published, all-inclusive hourly rate for the hours your team works, invoiced monthly, with no hidden fees, setup charges or surprise costs. The rate covers everything: salary, office space, IT, HR support, and management. What we quote is what you pay.
What contract terms do you offer?
Every engagement starts with a 3-month initial term. After that you can walk away with 2 weeks notice, so you are never locked in for long. We earn your business through results, not restrictive contracts.
Can I scale my team up or down?
Absolutely. Scalability is one of the key advantages of offshore staffing with NexOutsource. You can add team members as your business grows or scale down during quieter periods. We typically need three to four weeks' notice to add new staff, and scaling adjustments are handled smoothly by our operations team.
What's included in the monthly fee?
Your monthly fee covers your team member's full salary and benefits, a fully equipped workstation in our Suva office, high-speed internet and IT infrastructure, HR management, payroll processing, and ongoing operational support from NexOutsource. There's nothing extra to pay.
Services
What services can NexOutsource provide?
NexOutsource provides dedicated offshore teams across customer service, sales and marketing, back-office administration, data entry, accounts processing, IT support, and more. If the role can be done from a desk with an internet connection, chances are we can staff it from Fiji.
Can you handle specialised industry requirements?
Yes. We have experience across industries including financial services, healthcare administration, property management, logistics, and technology. Our recruitment team sources candidates with relevant qualifications and industry experience, and we provide tailored training to meet your sector-specific requirements.
Do your teams work in our timezone?
Yes, this is one of the biggest advantages of choosing Fiji. Fiji's timezone is virtually identical to New Zealand (UTC+12) and closely aligned with the Australian east coast. Your offshore team works your standard business hours, enabling real-time collaboration with no overnight shifts required.
What tools and technology do your teams use?
Our teams work with whatever tools your business uses, Microsoft 365, Google Workspace, Slack, Teams, Zoom, Xero, MYOB, Salesforce, HubSpot, Zendesk, and many more. We set up secure access to your systems so the offshore team operates as a seamless extension of your local staff.
Can NexOutsource integrate with our existing systems?
Absolutely. Our IT team works directly with yours to set up secure VPN connections, configure access to your cloud platforms, and ensure your offshore team has the same tools and permissions as your local employees. We adapt to your tech stack, not the other way around.
Quality and management
How do you ensure quality of work?
Quality is maintained through rigorous recruitment, structured onboarding, regular performance reviews, and dedicated team leaders who oversee daily operations. We also provide transparent reporting and KPI tracking so you have full visibility into your team's output and performance at all times.
Who manages the offshore team day-to-day?
You retain full control over the day-to-day direction of your team's work. NexOutsource handles the operational management, attendance, facilities, HR issues, and IT support, so you can focus on guiding priorities and workflows. For larger teams, we can provide dedicated team leaders or supervisors as well.
What training do team members receive?
All team members receive comprehensive onboarding training tailored to your specific business processes, systems, and standards. NexOutsource also runs ongoing professional development programmes covering communication skills, software proficiency, and industry knowledge to ensure continuous improvement.
How do you handle underperformance?
We address performance issues promptly through structured performance improvement plans, additional coaching, and clear KPI targets. If a team member is not the right fit despite support, NexOutsource recruits and trains the replacement, keeping disruption to your operations to a minimum.
What's your staff retention rate?
NexOutsource maintains a staff retention rate above 90%. We achieve this through competitive local compensation, a positive work culture, career development opportunities, and the stability of working with quality NZ and Australian businesses.
Security and compliance
Is my data secure with an offshore team?
Yes, data security is a top priority at NexOutsource. We use enterprise-grade firewalls, encrypted connections, endpoint security, and strict access controls across our Suva facility. All team members sign comprehensive confidentiality and non-disclosure agreements before accessing any client data.
Are you ISO/IEC 27001:2022 certified?
Yes. Proficient Customer Solutions (Fiji) Pte Ltd is certified to ISO/IEC 27001:2022, certificate number 250208056701, issued by TNV System Certification and accredited by International Accreditation Services (IAS). It is valid from 8 February 2025 to 7 February 2028 with annual surveillance audits, and covers our Suva site. We are happy to provide the certificate of registration on request.
How do you handle privacy and confidentiality?
Every NexOutsource team member signs a binding NDA and confidentiality agreement. Our offices have physical security controls including restricted access areas, CCTV monitoring, and secure document disposal. We also enforce clean-desk policies and prohibit personal devices in work areas handling sensitive data.
What about NZ Privacy Act compliance?
NexOutsource operates in full compliance with the New Zealand Privacy Act 2020, including the requirements for cross-border data disclosure. We work with our clients to ensure appropriate safeguards, data processing agreements, and privacy impact assessments are in place before any personal information is handled offshore.
Do you have business continuity plans?
Yes, NexOutsource has comprehensive business continuity and disaster recovery plans. These include backup power generators, redundant internet connections from multiple providers and cloud-based systems. We're built to keep your operations running no matter what.
Why Fiji?
Why Fiji instead of the Philippines or India?
Fiji offers a unique combination that the Philippines and India cannot match: same timezone as NZ, fluent English, strong cultural alignment with Australasia, and no graveyard shifts. Your Fiji team works your hours, understands your customers, and communicates naturally, without the timezone headaches of traditional offshoring destinations.
What's the English proficiency like in Fiji?
English is the language of education and communication in Fiji. Fijians speak English fluently from school age, with neutral accents that are easily understood by NZ and Australian customers. There is no language barrier to worry about.
What's Fiji's internet and infrastructure like?
Fiji is connected to the Southern Cross submarine cable network, providing enterprise-grade international bandwidth. NexOutsource operates with redundant fibre connections from multiple ISPs, backup power systems, and modern commercial-grade facilities in Suva. Our infrastructure meets the same standards you'd expect from any professional NZ office.
Is Fiji politically stable?
Yes. Fiji has held regular parliamentary elections since 2014, with a growing economy supported by international investment. The Fijian government actively promotes the BPO and offshoring sector, offering incentives and a supportive regulatory environment for offshore service providers like NexOutsource.
What timezone does Fiji operate in?
Fiji operates on GMT+12, which is the same as New Zealand Standard Time and 1 to 2 hours ahead of Sydney and Melbourne. This means your Fiji team works the same business hours as your local staff with no overnight shifts, enabling real-time communication and collaboration throughout the workday.
